Vacancy Announcement for Assistant Regional Admin/ Finance Coordinator
Youth Initiative (YI) is a youth
organization working for the capacity development of youths in Nepal.
Established in 1999, YI was formally registered with the District
Administration Office, Kathmandu in April 2001. It is affiliated with
the Social Welfare Council (SWC) of Nepal. Today, YI is one of the
leading youth organizations working in the field of youth empowerment,
strengthening of student and youth politics, promotion of civic
engagement, democratization and human rights in Nepal.

Assistant Regional Admin Finance Coordinator (ARAFC)
Nepalgunj
Major responsibilities
The
Assistant Regional Admin Finance Coordinator would be responsible for
the day to day Administration, Financial management and Procurement.
S/he is responsible to assist Regional Admin Finance Coordinator (RAFC)
to develop administrative and financial procedures according to the
policies and guidelines of YI.
Key areas of responsibility
1. Finance
- Prepare vouchers for all the cash and bank payments
- Conduct timely cash and bank reconciliation and filing system
- Review, follow up and finalize bills, supporting documents sent by field office, and keep record according to appropriate code of account.
- Assist RAFC in maintaining partner wise filing system, and report preparation
- Assist RAFC to prepare statements and records from district offices and input into FAMAS system
- Assist RAFC to meet the compliance with government regulations in financial and other matters (E.g. Registration, approval, taxation and labor laws); and timely payment of taxes
- Prepare monthly account statements
- Maintain all the regular transactions thoroughly based on the supporting documents in line with the office policy.
- Deal with Bank and other service providers and make timely payment.
2. Administration
- Provide administrative support for programs
- Handle stock book, letter register and other necessary documents
- Maintain and update leave records of staff and update HR Report
- Create and maintain a system for documentation in all Strategic Location Offices
- Assist RAFC to ensure contractual commitments (e.g. for the rental of vehicles and/or premises) in forms appropriate for the circumstances of the program
- Assist RAFC to set up and maintain a standard administrative systems and procedures throughout the central and Strategic Location offices
- Ensure that all the office equipment is in working status, and ensure the safety and security of the office properties and premises.
- Maintain and update Office inventory regularly.
3. Procurement
- Establish a proper procurement system at district offices in line with YI Policy
- Assist RAFC to ensure that all necessary equipment, materials and supplies are available to carry out the tasks in all offices
- All the equipment, materials and supplies should be procured with reference according to the Youth Initiative's policy
- Maintain proper use and timely maintenance of all equipment
- Initiate procurement following all necessary process and formalities of procurements
- Make procurement at the best possible price and
- Assist RAFC to ensure that all legal and tax requirements are met during procurement
- At least completed Bachelors Degree or running from a recognized University
- At least 1 years of working experience in finance and administration related work
- Good knowledge of accounting standards and tax policies of Nepal
- Knowledge and experience in using accounting software
- Good communications skills in English and Nepali
- Good training/capacity building and management skills
- General understanding of contemporary youth issues is desirable
Working Hours
8 hours per day | 6 days a week.
